A useful Airbnb arrival message in less than a minute

On check-in day, your guest wants to know where to go, from what time and how to enter. Here is a short structure to adapt to each dwelling.

To be retained

  • Give the information in the real order of the route, from the street to the door.
  • Book the details of the stay in the digital booklet to keep the message legible.
  • Make a simple statement if the guest does not find the entry or if the code fails.

The six informations to place in the message

Start with the first name, date and time from which the accommodation is ready. Then add the full address, a map link, the access mode, a visual marker and the way to reach you. If parking is difficult, indicate it before the codes: the guest must first succeed in arriving in front of the right building.

Avoid mixing in this message the internal rules, all equipment records and ten local recommendations. This information is useful, but not when the guest is carrying his or her luggage.

Arrival message template to customize

Hello [First name], your accommodation will be accessible today from [hour]. Address: [full address]. Here is the GPS link: [link]. Once before [visual benchmark], [stage 1], then [step 2]. The access code is [code or send indication]. All information on the stay is available here: [link to the booklet]. In case of difficulty in front of the entrance, send me a message with a photo of where you are. Good ride!

Replace each hook and reread the message on a phone. If a step can be interpreted in two ways, add a photo to your module Arrival information.

When to send the code and link to the booklet

You can send a first confirmation after booking, then the practical details shortly before arrival according to your organization and the rules of your platform. The same day, a short reminder is enough. If you change a keybox code regularly, always check that the scheduled message and booklet display the same value.

The WelloGuest link can be shared before the stay. The guest thus prepares his journey, then finds the same guide thanks to the QR code present in the accommodation.

The test to be done before each season

Browse the route yourself as a new guest: open the GPS link, park, locate the door, use the digicode and get the keys. This test reveals the details that have become invisible to the host: poorly lit number, second entry, different elevator or hard to recognize keybox.

Then correct the message and booklet. A clear check-in depends less on the length of the text than on the accuracy of the steps.

Frequently asked questions

Should the arrival message be sent the day before or the same day?

You can prepare the guest the day before and then send a short reminder the same day. The right time depends in particular on your access mode and your organization.

Should I put all the instructions in the Airbnb message?

No. Keep the message centered on arrival and place Wi-Fi, equipment, settlement and departure in an easy-to-read booklet.

What if entry is difficult to find?

Add a visible marker, photo and emergency instruction indicating exactly how to contact you.
